Power Automate has been available in Microsoft 365 for years, but most SMEs either don't know it exists or have tried it with a simple flow and concluded it's only useful for basic notifications. That undersells what it can actually do. Here's what's genuinely possible โ drawn from what we've built in production, not from Microsoft marketing materials.
Power Automate is Microsoft's workflow automation platform, included in most Microsoft 365 business plans. It connects Microsoft 365 services โ SharePoint, Outlook, Teams, Excel, Word, OneDrive โ and hundreds of external services, and allows you to define automated processes that run when things happen, on a schedule, or when triggered manually.
The key difference from a macro or a script is that Power Automate flows run in the cloud, without anyone being logged in, without a specific machine running. They're reliable, auditable, and maintainable by people who aren't developers.
The most valuable category. When a new client is added to a SharePoint list โ create the folder structure. When a case is won โ create the case record, provision the folders, create the Trello card. When a tenancy is confirmed โ create the property folder and generate the tenancy agreement. This kind of trigger-based creation removes setup work entirely and guarantees consistency.
Email arrives in a shared mailbox โ captured to SharePoint โ enriched with metadata โ filed to the correct folder. Document uploaded โ metadata populated from the folder path โ date extracted from filename. These filing flows remove the manual work that staff were doing repeatedly with no added value.
This is underused. Power Automate can read a Word template, populate it with data from SharePoint lists and Excel tables, and save the completed document to SharePoint. Annual reviews, engagement letters, suitability reports, onboarding packs โ generated from your data in seconds. The bottleneck becomes reviewing the output, not preparing it.
CRM updated โ SharePoint metadata updated. Case status changed โ Trello card updated. Quote age calculated daily โ dashboard always current. These synchronisation flows prevent the drift that makes data sources unreliable.
Daily flows that calculate ages, update statuses, and flag items that need attention. A flow that runs every morning, finds every client whose review date is within 30 days and whose Review Status is Not Started, and creates a Teams notification for the responsible adviser. This is the kind of thing that gets done by a person chasing a spreadsheet โ until a flow does it reliably every morning.
Being honest about limitations matters. Power Automate is not the right tool for:
Every production Power Automate flow needs to handle failure. What happens when an API call times out? When a lookup finds no match? When a required column is empty? Flows that fail silently โ succeeding according to the run history but not doing the intended work โ are worse than flows that fail visibly.
We build failure notifications, rollback steps where appropriate, and failure log entries into every production flow. A flow that fails should make noise immediately so the issue can be diagnosed and fixed before the next run compounds it.
